The Receptionist role is a support role. The individual performs key organizational as well as administrative duties for all groups. The individual is also a backup for many other individuals within the organization. Essential Job Functions (listing most important first):
  • Greets guests promptly, professionally, in a friendly hospitable manner
  • Maintains and organizes the waiting area
  • Maintains, organizes, and ensures writing and presentation materials are available in the conference room
  • Answers incoming calls promptly, professionally, and with a friendly phone demeanor
  • Accurately enters critical contact information about callers in our system
  • Transfers phone calls to the correct person the first time
  • Checks the Company's mailbox daily and sorts mail for distribution
  • Distributes the mail to the appropriate recipient
  • Accurately joins payment stubs with bills
  • Accurately files bills and other business documents in accordance with the company’s filing system
  • Monitors office supply levels and replenishes stock when needed
  • Purchases the most cost effective supplies
  • Schedule meetings upon request
  • Makes travel arrangements upon request
  • Decorates the office for holidays
  • Arranges food for events as needed
  • Coordinates the company celebrations such as birthdays
